Privacy Policy

This privacy policy describes how the XetaSuite mobile application collects, uses, and protects your personal data.
1. Application Publisher
Section titled “1. Application Publisher”The XetaSuite mobile application is published by XetaSuite (hereinafter “we”, “us”).
2. Data Collected
Section titled “2. Data Collected”2.1 Authentication Data
Section titled “2.1 Authentication Data”To access the application, you must authenticate with a XetaSuite account. Session data is stored securely on the device using Expo SecureStore (AES encryption).
No password is stored in plain text on the device.
2.2 Audio Data (Microphone)
Section titled “2.2 Audio Data (Microphone)”The application uses your microphone only for the integrated voice assistant.
What happens during a voice session:
- You manually activate the voice assistant by pressing the dedicated button.
- Audio is captured on the device and sent to the platform’s speech recognition API (Android Speech Recognition API / Apple Speech Recognition API).
- The resulting text transcription is sent to the XetaSuite API for processing.
- Raw audio is never sent to XetaSuite servers.
- Raw audio is not stored on the device or in the cloud.
What we do not do:
- We do not record your conversations.
- We do not transmit audio to third parties (beyond the platform’s native speech recognition API).
- We do not use audio for advertising or behavioral analysis purposes.
2.3 Usage Data
Section titled “2.3 Usage Data”Actions performed in the application (viewing materials, incidents, maintenances, etc.) are transmitted to the XetaSuite API as part of normal service operation. This data is linked to your user account.
3. Required Permissions

4. Legal Basis for Processing
Section titled “4. Legal Basis for Processing”Data processing is based on your explicit consent:
- For the microphone: you grant permission the first time you use the voice assistant. You can revoke it at any time in your device settings.
- For authentication and usage data: it is necessary for the performance of the XetaSuite service contract.
5. Data Retention

6. Your Rights

- Right of access to your data
- Right to rectification
- Right to erasure (“right to be forgotten”)
- Right to object to processing
- Right to data portability
To exercise these rights, contact your XetaSuite administrator or the application publisher.
7. Security

- Encryption of authentication tokens (Expo SecureStore / AES)
- Encrypted HTTPS communication between the app and the API
- Data access restricted by your roles and permissions in XetaSuite
